Where the data comes from
Most data we receive directly from you. For media professionals and some business contacts, we may also use publicly available professional information, such as an outlet's website, published articles, public professional profiles or industry directories, and introductions from mutual contacts.
Media contacts
If you are a journalist, we only use your professional contact details to share information we believe is relevant to your work. You can ask us at any time to stop contacting you or to delete your details, and we will do so.
Event photography
Photos and video may be taken at our events and used on our website and social channels. We tell guests about this at the event. If you would prefer not to be photographed, or want a published photo removed, let us know at the event or by email.
Calls and meetings
We may use note-taking or transcription tools in online meetings to keep accurate records of what was agreed. We tell participants at the start of a meeting when such a tool is in use, and you can ask us not to use it.
We do not sell personal data, and we do not use it for automated decision-making that produces legal or similarly significant effects.
4. Cookies and third-party content
Our website does not use advertising or analytics cookies, and it does not load content from third-party servers: our fonts and images are hosted on our own site. Our hosting provider receives the technical data listed above in order to deliver the website.
If we add analytics, contact forms or other tools that use cookies, we will update this policy and, where required by law, ask for your consent first.
5. Who we share data with
We share personal data only where necessary, with:
- Service providers who process data on our behalf, such as website hosting, customer relationship management (CRM), email, file storage, meeting and note-taking tools. They act on our instructions and under data processing terms.
- Our team and contractors who work on your account or event, bound by confidentiality.
- Partner agencies we work with on a specific project, where you are a client or event guest and this is needed to deliver the work.
- Journalists and event participants — for clients, sharing spokesperson details with media is part of the service you engage us for.
- Authorities and advisers where required by law, or to establish, exercise or defend legal claims.
6. International transfers
BeGlobe is based in the United States and our team works across Europe and the US, so your data may be processed outside your country, including in the United States. Where we transfer personal data from the EU, the UK or Switzerland to a country without an adequacy decision, we rely on appropriate safeguards, such as the EU Standard Contractual Clauses (with the UK and Swiss addenda) or a recipient's certification under the EU-U.S. Data Privacy Framework and its UK and Swiss extensions.
7. How long we keep data
- Server logs: for a short period set by our hosting provider, normally no longer than 30 days.
- Enquiries that do not lead to a contract: up to 2 years after our last contact.
- Client and contract records: for the duration of the relationship and afterwards as long as required by tax, accounting and other laws, typically up to 10 years.
- Media and business contacts: while the information remains relevant to our work, and deleted promptly if you ask us to stop contacting you.
- Event guest lists: up to 3 years, to invite you to future events; dietary information is deleted after the event.
8. Your rights
Depending on where you live, you may have the right to:
- access the personal data we hold about you;
- correct inaccurate data;
- have your data deleted;
- restrict or object to our processing, including at any time to processing based on legitimate interest and to direct communications;
- receive your data in a portable format;
- withdraw consent at any time, without affecting earlier processing.
To exercise these rights, email js@beglobe.tech. We will respond within the time required by law, normally within one month. We may ask you to confirm your identity.
You also have the right to lodge a complaint with a data protection authority — in the EU, the authority in your country of residence or work; in Switzerland, the Federal Data Protection and Information Commissioner (FDPIC); in the UK, the Information Commissioner's Office (ICO). We would appreciate the chance to address your concern first.
9. Security
We use appropriate technical and organisational measures to protect personal data, including encrypted connections, access controls limited to people who need the data, and reputable service providers. No method of transmission or storage is completely secure, but we work to protect your data and will notify you and the authorities of a breach where the law requires it.
10. Children
Our website and services are intended for professionals and are not directed at children under 16. We do not knowingly collect personal data from children.
11. Changes to this policy
We may update this policy as our services or the law change. The "Last updated" date at the top shows when it was last revised. For material changes, we will take reasonable steps to let affected people know.
For any question about this policy or your personal data, contact us at js@beglobe.tech or by post at BeGlobe PR Agency LLC, 25 First Ave. SW, Ste A, Watertown, SD 57201, United States.
